Guidance and Resources for Managers and Supervisors

Induction is the process we use to welcome all new colleagues to NHS Greater Glasgow and Clyde. It can also be used when our team members transfer to a different role within our organisation or return after an extended period of absence such as maternity leave or secondment. An effective induction process should provide a variety of benefits and support our aim of delivering high quality patient care and the efficient delivery of services.

Duration of Induction Process

An induction process that supports colleagues must be completed by 3 months after the start date of a new role or up to a maximum of 6 months, if working part time.

NHS Greater Glasgow and Clyde Induction Model

NHS Greater Glasgow and Clyde has developed a six step model to support the induction process. Each step is outlined in the boxes below and provides information and resources to plan progression through a positive induction journey.

The NHSGG&C Induction Checklist can be used electronically or in a paper format and will support the conversation between you and your new start as you work together to plan their personal induction journey.

All steps, with the exception of Step 4, apply to all new staff regardless of their role in our organisation - Induction decision flow chart

If your new team member requires literacy/numeracy support to complete their induction programme, please click here to access additional support.

As a manager it is your responsibility to sign off on your new start's induction.  If you require an extension to the induction period, please contact the team on [email protected]

Manager Support

As an additional support to the resources outlined within the Induction Portal, a tutor led course is offered to managers and supervisors who are responsible for leading induction locally and supporting new colleagues, particularly those colleagues in a HCSW role. Details are noted here - Induction Training.

Statutory and Mandatory Training

(Step 3)

This section refers to training requirements for all NHSGGC staff and how to register for a Learnpro account

  • The Statutory and Mandatory training modules that must be completed by all new and existing NHSGGC staff are available on our online learning platform, Learnpro. To access these modules, your new team member must be registered with an online learning account on LearnPro.
  • If your new team member is not employed by NHSGGC please contact LE Support for advice on how these modules can be accessed
  • Please note that during the Learnpro account registration process, your new team member will be asked for their NHSGGC payroll number as their Identification Number.
  • If the member of staff does not have a NHSGGC payroll number at this stage, please contact LE Support at [email protected] and a member of the team will  issue you with a temporary Identification Number. This  must be updated on Learnpro by the new team member once they have received their NHSGGC pay number.
  • It is important to check that your new team member updates their Identification Number to their NHSGGC payroll number, as new Learnpro accounts will be suspended 6 weeks after set up to ensure that colleagues update their account with their payroll number.
  • The NHSGGC payroll number is the identifier that will confirm the statutory and mandatory training compliance in your area. If the Identification Number is not updated, your training compliance report will not include the individual's learning activity.
  • An email address must be used in the registration process. It is preferred that a NHSGGC email is used however a NHS.net email or other email address can be used.
  • The use of an email address in the registration process allows a colleague to reset their own password if they forget it making this a quick and easy process that can be done by the individual without contacting LE Support. This means that they can reset their own password at any time of day/ night, if required.
  • You will find full supporting information on Statutory and Mandatory training at the following link which may be helpful to share and discuss with your new team member :All NHSGGC Staff

HCSW

(Step 4)

Step 4 applies only to new colleagues who are identified as a Health Care Support Worker (HCSW). From 1st January 2011, all colleagues in NHS Scotland working in a HCSW role must meet mandatory Induction Standards for NHS Scotland and adhere to the HCSW Code of Conduct. These elements are included in our induction process and are outlined in Step 4.

Induction Sign Off

(Step 5)

To complete our induction requirements, managers must make a formal return to the Learning and Education Service at the end of each induction process they manage. This form links to organisational  reporting on Induction compliance which is shared with Directors and senior managers every month. If the online form is completed after the target induction completion date set for your new team member, the induction process you are managing will be recorded as overdue and in breach of the agreed target.

What you need to do at  Step 5:

1. Make sure you have completed all sections of the Induction check-list, including dates of achievement and you have ticked the box for each section.

2. If your team member is a Health Care Support Worker, ensure that the HCSW workbook is completed, reviewed and signed off and they have read and understood the HCSW Code of Conduct

3. You must complete the new online form to tell us that induction has been completed. Please contact the Learning and Education team as soon as possible  if you are unsure in anyway how to complete this form or if reasonable circumstances are impacting on achieving the agreed Induction target date e.g. new team member is absent form work.

 Profession and Role Specific

(Step 6)

This section offers an opportunity to make a link to local/ professional based orientation programmes and resources so that progress through the induction journey can be in one place.

If you wish to add your resources please contact Stephanie Dunn, Senior L&E Advisor at [email protected], to discuss.
