Content Creation with Subject Matter Specialists

1. Initial Enquiry

  • initial enquiry is received by the  team from a subject matter expert (SME) regarding the feasibility/appropriateness of creating an e-learning module/s.
  • meeting set up for fact finding around the module itself e.g. topic, target audience, time scale, module structure/content etc. Any technical implications will be considered.
  • SME has opportunity to ask questions about the platform, tracking options etc.
  • Request taken to L&E SMT for consideration prior to starting work from a governance perspective and to ensure (as far as possible) that the proposed module fits with organisational policies, procedures and priorities.

2. Creation Phase

  • the SME may have existing content or they may have a blank canvas.
  • develop an outline of the module and proposed content
  • SME to create a first draft of the module which will then be sent to the SME for review and feedback. This will be no later than four weeks after receipt of the content/outline.
  • Follow up phase The SME will send any comments/feedback to the e-Learning Team, particularly any that require changes to the module, no later than 4 weeks after receipt of the first draft.
  • Any changes will be actioned and a new draft of the module sent to the SME, again no later than 4 weeks after receipt, for review and feedback.
  • This process will continue until the module is ready to be tested. Please note if feedback is not received 4 weeks after sending the first draft module (or subsequent drafts) the e-Learning Team will contact the SME to provide additional support.

3. User Assurance Testing (UAT)Phase

  • Once the module is in a state of readiness to be tested we will arrange for the module to be loaded onto the test site.
  • The SME will identify a small group of individuals to test the module with a view to giving feedback from the user’s perspective.
  • They will be given dummy logins for the test site. Once the feedback is collated any necessary changes will be made to the module.
  • This stage should take no more than four weeks.

4. Pilot Phase

  • This is an extension of the UAT Phase but with larger numbers (This can be an optional phase if the SME is satisfied with the outcome of the UAT phase).
  • Again any feedback will be acted on and any necessary changes made.
  • Again a four week timeline should be sufficient.

5. Go Live

  • Once the SME is satisfied the module is complete we will arrange for it to be made live on the e-learning platform.

6. Maintenance

  • The e-Learning Team will deal with any technical issues that may arise with the module and resolve them as far as possible.
  • The SME remains responsible for ensuring all content is current, relevant and accurate e.g. there may be a change of legislation which results in updating requirements.
  • To achieve this end the SME should review the module every 6 months to ensure its currency etc. T
  • hey should notify the e-Learning Team of changes required as soon as possible to try and ensure all published content is correct.

7. Reports

  • The e-Learning Team will agree with the SME any reporting requirements.
  • This could be either, quarterly, bi-annually or annually.
